buffyann and I have good news to share with you! We have made progress with finding a suitable venue in Cardiff, which polled as the most popular potential location, and we are just waiting on booking confirmation, but we hope to announce dates for the con in April 2011 within the next day or so, with registrations to open soon after. So watch this space for more details as soon as they are available!
We will be updating the website and hopefully getting a mirrored Dreamwidth account up and running shortly too, but for now the most up-to-date information will be posted to this journal.
Now comes the part where we need your help... in order for the con to go ahead, it is essential that we get volunteers to fill certain jobs. Without your participation and support, it won't be possible for the event to go ahead as we cannot manage it alone. Below the cut is a list of roles that we need to fill.
We understand that many people can feel hesitant about volunteering, worrying about the commitment involved and also whether they are qualified to help. Let us reassure you:
1. We are very keen to share the load across as many people as possible so that no one feels overloaded, and so we have a pool of people who can back each other up if problems arise.
2. You will see from the job descriptions that many of these jobs are quite straightforward, and remember also that this is a small event (we're aiming for 20-30 attendees), and whatever you can offer in the way of assistance will be gratefully received. i.e. You don't have to be an expert, we will work it out together!
You don't even have to attend! Yes, you can help us from your lounge room. :)

VidShow VJ
Your job will be to prepare a themed vidshow (with a theme of your own or one you picked from submitted ideas). At this point, you don't have to have a fixed theme in mind, we are just looking to collect the names of people who would be interested in filling our program. :) If you do have a clear idea for a show already, of course, that's terrific. You will have to find vids for the show and contact the vidders and get the vids from them and upload the vids onto a server for the DVD editor to be able to prepare the DVDs for the con. Vidshows can be combined with a panel. You can work in tandem with other volunteers.
Timeline: pre-con
Attendance: Optional
Ideal number of vidshow hours: 6 or 7
Panelist
Your job will be to prepare a themed panel. (Note from Boppy: A 'panel' can just be one person leading! I discovered this at VVC! I always imagined a board of ... well, panelists... but no! so if you are one person, do not be put off!!) You can choose to run the panel in any way you want, with visual aids, viewing vids (in which case you'd need to prepare a DVD for it), or just by leading a discussion. You may wish to create a panel/vidshow combo to illustrate your panel with a set of vids.
Timeline: pre-con and con time
Attendance: Mandatory
Ideal number of panel hours: 6 or 7
Important note for both VJs and Panelists: We will provide opportunities over the next couple of weeks for people to discuss ideas with other volunteers and con attendees, so if you don't have set ideas yet, don't worry--we're just looking to get an idea of people who might be interested in doing either/both of these roles. In terms of programming, there is some flexiblilty. Possible structures include (but are not limited to) the following:
- 1 hour regular vid show
- 1 hour vid show in between 2 x30min discussion
- 1 hour vid show followed by 30min discussion
- 1 hour vidshow/panel--a small number of vids with focussed discussion of them.
While we will want to schedule in 1 hour or 30 minute blocks, please don't feel limited when thinking of ideas to it needing to be either a vid show OR a panel--they can be mixed and matched.
Premiere VJ
Your job will be to create the premiere show (this will probably be combined with nearly new vids, but it will depend on the amount of premieres we get) and set up the order of the vids to balance the show in the best way you see fit. You will gather the vids and then transfer your vidlist and vids to the DVD editor.

Technical: making/editing DVDs
Your job will be to make all the DVDs for the vidshows at the con from the files uploaded by VJs, as well as making all the DVDs for attendees and supporting members. You will have to make sure the DVDs
play on the DVD player at the con, for which you'll be in contact with our local contacts in Cardiff that will test one in the hotel room. You will be in contact with our finance manager for your DVD and boxsets budget.
Timeline: Pre Con (Close to con. Probably the month of March, except for the test DVD)
Attendance: Preferable (to avoid shipping DVD fees, but you could also pass them to an attendee
possibly)
Art/Design Jobs
We have three design jobs for the con. One person could do all three, using the same design, just different formats. Or if you'd rather just do one, the jobs can be split between people. You will be in contact with the Volunteer Coordinator, who will relay to the Program Creator. The three design jobs are:
- Designing Program Cover
- Designing Badges
- Designing DVD Cover + list of vids
Timeline: pre-con
Attendance: Optional
Mail DVDs to Supporting members
Your job will be to send all the DVDs made by the DVD editor to the supporting members. You will be in charge of buying the enveloppes and stamps. So basically you only need a bit of time and a love for the post office. :)
Timeline: Post-Con
Attendance: Preferable (to get your hands on DVDs, unless you live close to the DVD
Editor)
Attendees package Coordinator
You will be in charge of researching, buying the furniture and preparing the attendees package (little
folder with programs, and other things TBD) to be given to all attendees on registration day. You will simply have to research options and relay to the con-staff. You basically only need a bit of time and internet. :)

Attendance: Optional
Intro Vid Maker
This role is not a deal breaker but it would be nice. :) Your job will be to create a short intro vid for the con.
