Question! I prefer not wearing my badge out to dinner or going to the store while at a con.
If we de-badge to run out and leave badges in our rooms, will we have issues when coming back and getting to our rooms?

You don't need to wear your badge outside the hotel. Just put it in a pocket, purse, or other bag you have and put it on before re-entering the hotel. Easy peasy!

Is the hotel going to have signage up indicating that the hotel is sold out for an event and indicating that persons not with the event may be asked to leave the hotel? (or some similar wording. Having locals watch the parade tends to be pleasant. Having them drunk at the bar or in the lobby, not so much.)

The hotel doesn't have signage for such a thing, but the sheer number of cars in the parking lot and people in and out of the building plus "sold out" indications on their website usually mean that people don't show up. They do have walk-ins at times who want a room, but the hotel directs them elsewhere.

Also, since it is all inside, you can't see the parade without being in an area requiring a badge (though the tops of suiters' heads might be visible from the restaurant). The photo op at the end of the parade is the only time this event goes outside. During regular hours, the bar, restaurant, and front desk are accessible by the public. However, the restaurant/bar area gets closed when we do kareoke on Friday night.

so what happens if people travel all the way there, have hotel rooms, but you guys reach the cap before they're able to get a badge?

Right now, we have approximately 500 3-day passes, plus we have 50 single-day passes for each day. We do allow for a few extras, given the mathematics of printing. Also, our actual attendance will be based on the number of badges which are picked up. Every year, we have people who pre-registered who cannot attend at the last minute and thus never pick up their badges though their registration is still in the system and taking up a pre-reg slot. People who physically arrive at the convention are given those unfilled slots, should we actually go over our cap.

Guaranteed bet? Pre-register during the 11 months pre-registration is open for the con.

Next option? Be in line super-early at Registration Friday morning. If you are far enough ahead in line to get a 3-day pass, great! If not, there will probably be single-day passes available to you.

well prereg is great and everything and what I normally do, but this year my friends and I were unsure if we could make it til now. some of them may only be able to come for Saturday only, so not able to get in reg line Friday

so my question is - we have a hotel room, but what if one or more of us cant get travel in early enough and badges sell out? obviously I know that means they couldnt get into con space (dealers area, panels, etc), but are you saying they'd be denied access to our hotel room?

Single-day badges are ONLY sold on the day they are good for. So, if your friends are only going to be attending one day, they should be all set, provided they get up early enough. Otherwise, keep your fingers crossed that 3-day badges will still be available. I don't remember us selling out in the first few hours Reg was open last year, and we actually have more at-the-door badges than we did last year. If the pattern follows last year's, you and your friends might be okay.

They will be able to get to their hotel room. Having their hotel key with them (which they should anyway to get into their room) will get them in and out of the hotel.

I have pre-registered for the con. But, I was not able to get a room in the main hotel. I usually drive to the convention after work, and arrive late Thursday after pre-reg badge pickup is over. I usually pick my badge up Friday ( ... )

First, let me clarify that we have always required that people wear their badges in convention space, so this isn't a new rule. (Not saying you thought this, but stating this for the general audience.) However, we felt we needed to clarify what constituted "convention space" since it also involves the public areas of the hotel ( ... )

Just out of curiosity, have you figured out your policies, or are you just making them up as you go along?

To announce after preregistration has already closed that registration will be required to even get into your hotel room is absurd. The fact that you did it by one tweet linking to an LJ post that contradicts the code of conduct still posted on your site is even more ridiculous.

Now, if you came up with a coherent set of rules for next year, and communicated them in advance, that would be fine. That way people could be extra careful to preregister instead of running the risk of being barred from their own hotel room, and, as stated in your code of conduct, having the cops called on them.

Actually, our Code of Conduct has essentially been the same for years. The only change from last year's CoC is the addition of the extended hours for the noise curfew for the late-night section ( ... )

Your code of conduct may be unchanged, but declaring that the hotel is con space IS new. You posted it to LiveJournal instead of updating the Code of Conduct though.

Actually, that isn't new news either. Especially since we moved to the Crowne Plaza, we have always "owned" the entire hotel for the weekend of our event. Like I said, people had questions about that so we posted our answer to their questions publicly just to clarify that information since we were going to post the update regarding the late-night floor curfew hours anyway.

However, since you brought it up, we will discuss about whether it is information which needs to also be added to our CoC at our next meeting.
