Job Description

Tilth Producers Administrative Assistant

General Purposes: Help to maintain Tilth Producers office and provide administrative support as needed.

Essential Functions/Responsibilities:

1. General office

· Process and distribute mail

· Process all checks and make bank deposits.

· Copy all invoices, file copies, and forward originals to bookkeeper

· Help respond to telephone, email and written inquiries as assigned.

· Help retrieve and manage voice mail.

· Help create administrative systems and forms as needed.

· Monitor postal accounts

· Run errands as assigned in the Seattle area.

· Design forms and write letters as assigned.

1. Membership data base

· Record new memberships and send welcome packet to each new member, add to database.

· Check for lapsed members, send reminders.

· Maintain and update member information as needed, including email addresses.

· Supply updated email lists to webweaver on a regular basis.

· Track additional data regarding the membership as appropriate.

· Prepare member mailings as needed.

2. Annual conference - provide assistance as assigned

· Help prepare signage and display materials for conference

· Help prepare and distribute conference registration materials

· Assemble conference packets for distribution to attendees

· Process conference registrations, fees, and related accounting. Coordinate with treasurer/ bookkeeper.

· Help prepare and send thank you letters.

3. Bi-annual Directory - provide assistance as assigned

· Enter member information into database

· Create computer reports as needed

· Assist with distributing the Directory to members, stores, associations, etc. (via mail and hand delivery).

5. Farm Walk Program - provide assistance as assigned

· Enter farm walk registration data into database.

6. Other administrative tasks as needed.

Minimum Requirements:

Education: High school degree or equivalent experience

Experience: One or more years experience with clerical work preferred.

Excellent computer skills, particularly in the use of databases, Excel, Word, email, and

internet research. Adobe In Design experience a plus.

Qualifications:

Demonstrated organizational and administrative skills, including experience with various types of office equipment
Ability to prioritize, organize and handle multiple tasks with minimal supervision.
Ability to maintain proprietary or sensitive information in a confidential manner.
Reliability, accuracy and ability to meet reasonable deadlines.
Requires ability to learn computer programs quickly.
Good, professional communication skills, particularly telephone, email and writing.
Basic design or graphic skills a plus.
Valid drivers license and car a plus
Familiarity with Northwest organic and sustainable agricultural communities helpful.

Terms:

Start mid-May, 2009

Part time, 10-12 hours per week

Flexible schedule to be determined by employee and employer upon hiring

Pay scale $10-$12 per hour, depending on experience.

Probation period of 4 months.

Office location in northeast Seattle
