Deb if you still have time to change this you may want add a box to indicate if the member has a room in the hotel and place for the room number. This has saved us a lot of money in the past. Just a suggestion if you do not need it cool.
Thanks for the suggestion but damage done to individual rooms are charged to the person who reserved the room. The hotel has their credit card and does this automatically. We're only informed so we can choose to ban the person.
Damage in the halls is what we are trying to prevent.
The reason to record the room number was to get an accurate room count. Some people may book outside the hotel using services like Priceline. OASIS has been doing this in order to figure out how many rooms were booked for the con that the hotel may have missed. A ton of people last year booked outside the hotel.

Interesting idea. Who did the checking, you guys or the hotel? I can't imagine going through 900+ sheets to try to match the names. Maybe something like - "Did you book your room through an online service?" That would narrow down the sheets to check and we could pull them right away so that we'd have the numbers when we pay on Monday.

The hotel gives me a list of all those that checked into the hotel block. On Sunday morning, I get all of our registration forms and compare them to the hotel's list. I find the names that are not on the hotel's list. I skip a lot of sheets since I am only looking for if the member booked a room. After I am done I give the list to the hotel staff. This year it was big since people registered outside of the hotel. I found about 15-20 extra room nights. It is not the most fun part of the job but it helps by showing how many came to the hotel for the con.
