Seasons' Greetings 2011 - Rules & Sign-Up Post

Welcome to the 2011 Seasons' Greetings Fest, everyone, where we will be bringing in the holidays with our favorite couple! We hope you are excited not only to enjoy the fanworks coming to you this December but also to try your hand at Lily/James Fest's very first exchange-based fest. First time participants and those of you who have a busy holiday season ahead, never fear! We have created this exchange to be very low key.

Rules & Guidelines

1. October 15th: Requests open
   October 21st: Close requests.
   -- 3 day window in which participants get to review which other participants gift they'd like to fulfill! --
   October 24th: Claiming opens
   November 28th: Submissions due

2. This is essentially a holiday gift exchange - if you put up prompt(s), you'll have to fill someone else's Lily/James-themed holiday gift as well. So please don't sign up if you don't think you'll be able to do this!
3. In your sign-up form, we ask you to specify three prompts - these will be used by your gifter when they create your gift! Prompts can come in the form of quotes, scenarios, or items (video clips/songs/pictures). Should your request contain it, the mods ask that you please link to all NSFW content rather than post it directly into your request and please mark the content accordingly.
4. Please also specify what type of prompt you'd like to receive: fic, art, or mixed media. You are more than welcome to list one, two, or all three.
5. To help your gifter along, please also fill out what you would like to see in your gift, and what you would not like to see in your gift. Try to be detailed and hit all the important points, but also try not to overwhelm your potential gifter.
6. Please be sure to include our password ( arrogant toe-rag ) in your sign-up form below to ensure us that you have read the rules.


[Claiming a giftee & Creating your gift]


7. After sign-ups close, we will post a masterlist linking to everyone's sign-up forms. You'll have about three days to view the various wishes, and decide who you would like to claim as a giftee. Claims will operate on a first come, first serve basis. Additionally, claims will be made in a comment to your giftee's request beginning on 24th October.
8. This exchange is not anonymous. Your giftee will know who you are. That being said, we ask that your gift be somewhat secret (i.e.- no posting huge snippets on your LJ) so the surprise isn't spoiled.


9. You can submit fiction, art, or mixed media (icons/banners/wallpapers/fanmixes).
10. All fics must be between 750-2000 words, and must be beta-read.
11. Art should be more substantial than line drawings but should not be a 20+ hour masterpiece, either. Artists should try to aim for a few hours worth of time invested in their gift. Black & white vs. colored art is completely optional to the artist.
12. Mixed media gifts should also encompass several hours worth of work, but by no means should you feel overwhelmed by it. The mods have come up with the following guidelines for all mixed media gifts: icons (5 minimum), wallpapers (1 minimum), fanmixes (5 song minimum), banners (2 minimum). If you have some other form of mixed media in mind, please feel free to Page-A-Mod. In addition, fanmixers are responsible for uploading their fanmixes and sending the link to the mods for submission.
13. We welcome submissions of all ratings. However, we ask that participants use the G - NC-17 scale.
14. As a gifter, please keep in mind your giftee's likes and dislikes. However, you are by no means obligated to include all of them. As a rule of thumb, try to avoid all of the squicks and then pick one or two elements from the "like" request.
15. Muses get out of hand, and the mods understand this. If inspiration strikes and you exceed the guidelines for word count, art, or mixed media, we won't ship you off to Snily Island.

16. Submissions are due on 28th November.
17. All submissions should be emailed as an attachment to lilyjamesfest[at]gmail[dot]com by the due date

19. Please remember to include your user name, giftee's name, and title in the subject line of your email.
20. Lastly if you need to drop out, you must contact the mods asap. This is an exchange and everyone is getting a gift, so we will need to find a pinch-hitter in this case. Participants who disappear will no long be allowed to participate at lilyjames_fest.

[Pinch Hitting & Additional Gifts]


21. Once all submissions are in, there will be a call for pinch-hitters, if needed. Pinch-hitters are people who create an additional gift for someone who has not received a gift due to a drop out. If you sign-up to be a pinch-hitter post-submission due date, we will arrange a pinch-hitting due date for you. Additional information on this will be available if needed.
22. Lastly, we know some of you really get into the holiday and gift giving spirit. So what happens if you want to create more than one gift? Once everyone has received their gifts, we will do a bonus gift posting round. The mods will be working out the details for this, so please keep a look out for a modpost concerning bonus gifts before posting begins!
