Admissions contact etiquette

Okay, here's my story.  In less than two weeks I'll be going to England, and one of the schools I want to apply to is over there, so even though I can't apply until later this year, I want to visit the school and meet with some professors/students, since as a US resident trips to the UK are naturally very scarce for me.  A couple of months ago I went to the school's NY campus for their open house, and was told by the UK staff (including the admissions director) that this would absolutely be possible, so no worries there.   About a week and a half ago, I e-mailed the admissions director, asking about visiting during the couple of days I'm in London.  I'm only in that part of the country for a limited time, and was told that she could arrange something.  It's been over a week since I last heard from her, and time is running out.  The professor at my school who would normally help me decide what to do is abroad right now, so I present this question to you, community: what is the proper way to follow up and make sure I can get a meeting if it turns out to be possible?  Should I contact a professor directly?  It's a very, very small school.  Thanks for any and all help!
